Overview

The Wisconsin Foundation and Alumni Association (WFAA), the private fundraising and alumni relations organization for UW-Madison, is seeking an Advancement Program Intern. The Advancement Program Intern will assist with program and event planning, event preparation, event execution, and post-event work for the Advancement Programs Team. This role will be active in programming for alumni and donors, supporting Pipeline Identification programs, and working on some Grandparents University preparations for 2026. Advancement Program Interns are ambassadors of WFAA and UW-Madison. In addition to office hours, these student hourly positions will staff key engagement programs.

 

$16/hour,15 hours per week

15 hours per week for the 2025/2026 academic school year, with the possibility of extending through summer and future academic years.

 

 

Essential Functions

  • Participate in team meetings and WFAA trainings
  •  Assist with planning programs and initiatives to engage UW alumni and donors (Admissions 101, 25th Milestone campaign, Women’s Philanthropy Council, Buckingham Club)
    • Review and contribute to the marketing review process
  •  Conduct research, document, and share findings on alumni and donor engagement best practices.
  •  Grandparents University (GPU)
    • Assist the WFAA team in researching, planning, and designing the 2026 GPU program.
    • Provide customer service for the Grandparents University program
  •  Perform administrative support for the Advancement Programs Team as needed
    • Assist with customer service
    • Assist with database entry
    • Support the program team as needed
  •  Help with Event Execution
    • Assist with event and program preparation as needed (including name badges, packing materials, preparing event collateral, etc.)
    • Staff registration tables at local events
    • Greet and assist event attendees
    • Transport supplies and materials related to events
    • Run event-related errands
  • Support WFAA Teams
    • Be knowledgeable about WFAA and university programs.
    • Lend general assistance and customer service across the Alumni Relations and Engagement Division when needed.
    • Be an ambassador to the University of Wisconsin and the Wisconsin Foundation and Alumni Association.
    • Other duties as assigned.

Qualifications

Required Qualifications

  • Currently enrolled in post-secondary degree program.
  • Proficiency in Microsoft Excel.

 Other Qualifications

  • Demonstrated experience in event planning and execution, summer camps, retail, or service industry are all helpful.
  • Familiarity with the UW-Madison campus.
  • Ability to prioritize and work with a high degree of independence.
  • Ability to work well as part of a team.
  • High degree of customer service skills.
  • excellent analytical and interpersonal skills, including the ability to express all appropriate information clearly and concisely, whether written or verbal.
  • ability to manage several projects simultaneously.
  • This is a very active position. During set up and execution, this position will be mostly on their feet with lots of walking and moving around. Candidates may need to be able to lift and carry up to 20 pounds.
