Overview

The Wisconsin Foundation and Alumni Association (WFAA) is hiring a Executive Program Support and Communications Intern for the summer and fall semesters. The Executive Program Support and Communications Intern will work closely with WFAA’s Chief of Staff and Administrative Program Manager to provide executive-level administrative support, material preparation, and communications support for a variety of organizational-wide priorities and projects.  This role is a great opportunity to engage with leaders, alumni, and donors across campus and be a part of a systems transformation.

 

This is a part-time nonexempt position, requiring 10-15 hours/week Monday-Friday during regular business hours. We are looking for this intern to be in the office  50% of the time. Starting pay is $15/hour. This position is not eligible for health or retirement benefits.

The Wisconsin Foundation and Alumni Association is a private, nonprofit corporation that encourages individuals and organizations to make gifts to the university and to connect with the UW. In 2014, the UW Foundation merged with the Wisconsin Alumni Association® to better serve a growing population of UW alumni and donors. We believe that private support grows out of good relationships between campus leaders, faculty and program staff who need support, and the alumni and friends who want to invest in UW–Madison. Essential Functions

  • Assists in basic event coordination, material preparation, and data entry for triannual board of directors’ meetings and periodic internal events (in person and virtual)
  • Assists in data management and document creation and editing for various communications and briefings
  • Contributes to data management clean-up in CRM and internal communications platform
  • Works on internal process documentation and brainstorms/suggests ideas for efficiencies
  • Periodically provides customer service via phone, email, or in person
  • Attends trainings and team meetings as necessary
  • Must be available for periodic night or weekend event execution as needed

Qualifications

Required Qualifications:

  • Pursuing degree in a related area and / or equivalent experience / training.
  • Previous administrative or customer service experience.
  • Proficiency with Office 365, Microsoft Suite (Word, Excel, PowerPoint), and Zoom 

Other Qualifications:

  • Ability to use discretion and maintain confidentiality.
  • Strong written and verbal communication skills, including the ability to communicate effectively, previous writing experience / skills a plus.
  • Excellent organization and time management
  • Strong attention to detail
  • Ability to handle projects with tact and confidentiality
  • Previous event planning experience a plus
  • Previous experience working in a non-profit or higher education a plus
  • Be an ambassador and knowledgeable about UW-Madison and WFAA
  • The person in the role will need to be comfortable with change and flexible when faced with quick changes to plans.
